Topic
Sharing Notebooks.
When to use
If you want to give someone access to the contents of your Notebook you can easily share it.
Instructions
You can share a Notebook with one or more individuals and, if you’re a Premium Evernote user, grant modification rights to other users.
If you are on Evernote Basic you can share multiple Notebooks, but are able to collaborate on--give modification rights to another user--only one Notebook.
To share a Notebook:
- Click the little arrow next to the Share button in the upper right corner of a Note within the Notebook you wish to share and select Share Notebook from the drop down menu
- Right-click a Note within the Notebook you wish to share on the list in the middle pane and then go More Sharing > Share Notebook
- From the main menu go Note > More Sharing > Share Notebook
- From the Notebooks list (Sidebar > Notebooks) right-click the Notebook and select Share Notebook from the drop down menu
When you share a Notebook, a Work chat window will pop up allowing you to share this Notebook with an existing Evernote user(s). You’ll need to enter the other person’s name or e-mail address. If you’ve chatted with that person before, Evernote will prompt you with matching names. You can also add a message along with your Notebook. When you share your Notebook, don’t forget to select the permission level you want to grant to the user (or list of users).
Once you’ve invited someone to a Shared Notebook, they will receive a notification email with a link to view it. Evernote users that you invite to a Shared Notebook will also have the option to ‘Join’ your Shared Notebook, i.e. make it appear in their Evernote account.
You can also create Public Notebooks by “Publishing” a Notebook, i.e., creating a public link to a notebook that can be posted anywhere, allowing anyone who has access to that link to view your Notebook and ‘Join’ it. When you join a Public Notebook, it is automatically saved to your Evernote account, where you can sync it along with your other notebooks from any device where you have Evernote installed.
To Publish a Notebook:
- Click the little arrow next to the Share button in the upper right corner of the Note within the Notebook you wish to share, select Manage Notebook Permissions from the drop down menu and then go to Publish Notebook
- Right-click a Note within the Notebook you wish to share on the list in the middle pane > More Sharing > Manage Notebook Permissions > Publish Notebook
- From the main menu go Note > More Sharing > Manage Notebook Permissions > Publish Notebook
People who don’t have an Evernote account won’t be able to view the contents of the shared (even published) Notebooks until they create an Evernote account.
Login to download- 00:04 If you want to give someone access to the contents of your notebook,
- 00:07 you can easily share it.
- 00:09 And this is what we are going to talk about in this lesson,
- 00:12 how you can share your notebooks.
- 00:15 Evernote allows you to do that in a number of ways.
- 00:19 You can pick a note within the notebook that you want to share.
- 00:22 Hit Share, and share your notebook from here.
- 00:26 You can do exact same thing from here.
- 00:29 So you go to More Sharing > Share Notebook, or
- 00:34 from the Main Menu, Note > More Sharing > Share a Notebook.
- 00:40 Alternatively you can go to your notebooks list, right-click on the notebook
- 00:45 that you want to share, and select the Share Notebook option.
- 00:49 You will be prompted a message that will invite you to enter the name or
- 00:54 email address of the person or
- 00:56 people you want to share this notebook with, and also add a message.
- 01:00 You will also be able to change permissions right here.
- 01:06 Just keep in mind that if you are on Evernote Basic, you will be able to share
- 01:10 multiple notebooks but give notification rights only to one more user.
- 01:17 If you are Evernote Premium,
- 01:18 you will be able to grant notification rights to many people.
- 01:23 Once you've shared your notebook, the other person or people will receive
- 01:29 a message by email, but they will also get a message in their work chat.
- 01:34 And from there you will be able to join your notebook,
- 01:38 which will add that notebook to their list of notebooks, as well, and
- 01:42 to make it accessible in their Evernote account, too.
- 01:47 So, this is how you share notebooks with specific people, but
- 01:51 you can also publish your notebooks.
- 01:54 Basically make that notebook accessible to anyone that has the link,
- 01:59 this public link to your notebook.
- 02:01 And to create the public link, you just right-click the name of the notebook,
- 02:05 select Publish Notebook, and hit Publish.
- 02:08 Evernote will create this URL for you,
- 02:11 which you will be able to make a little bit prettier.
- 02:15 But once you've save that link, this will be the link that you will be able
- 02:20 to share with others or post somewhere.
- 02:24 And just like sharing regular notebooks, once someone clicks on that
- 02:29 notebook they will be able to see the contents of that notebook, but
- 02:33 also join that notebook, which will add it to the list of their notebooks.
- 02:40 Whenever you want to revoke access to that notebook,
- 02:43 just hit Delete public link and that will
- 02:49 revoke access to that notebook so that nobody can access it again.
- 02:54 And just like with sharing, you will be able
- 02:58 to publish your notebook in the same exact way.
- 03:04 Just go to Share > Manage Notebook Permissions.
- 03:08 You can see that the same window pops up.
- 03:10 Same from here, right-click > More Sharing > Manage notebook permissions.
- 03:17 And exact same thing from here, More Sharing > Manage Notebook Permissions.
- 03:22 So these are the ways that you can share notebooks,
- 03:25 either with specific people or with just about anyone.
- 03:30 Try it and see.
- 03:31 This is an amazing way to collaborate with others or
- 03:36 give access to information that you want to share in a public way.
