When to use

If you want to give someone access to the contents of your Note you can easily share it.

Instructions

To share a Note:

  • Click the little arrow next to the Share button in the upper right corner of the Note
  • Right-click the Note on the list in the middle pane
  • From the main menu go Note > Share Note

When you share a Note with an Evernote user, use the “Share Note” option that will open a new Work chat and attach your Note to the chat.  You’ll need to enter the other person’s name or e-mail address.  If you’ve chatted with that person before, Evernote will prompt you with matching names.  You can also add a message along with your Note.

Before sharing the Note, don’t forget to review the permissions you want to grant the other person in regards to your Note.  You can allow them to just view the Note, edit the Note, or edit and invite (= share further).

If you forgot to do that or if you want to change permissions after sharing a Note, you can always chose  one of the following methods:

  • Click the little arrow next to the Share button in the upper right corner of the Note and then select Manage Note Permissions from the drop down menu
  • Right-click the Note on the list in the middle pane > More Sharing > Manage Note Permissions
  • From the main menu go Note > More Sharing > Manage Note Permissions

If you share a Note in this way with someone, who doesn’t have an Evernote account, they will receive an e-mail with the link to the Note, but they won’t be able to see the Note unless they create an Evernote account.

If you are in doubt whether the other person has an Evernote account, share your Note using a Public link.  You get the Public link to the Note by following either one of these routes:

  • Click the little arrow next to the Share button in the upper right corner of the Note and then selecting Copy Public Link from the drop down menu
  • Right-click the Note on the list in the middle pane > More Sharing > Copy Public Link
  • From the main menu go Note > More Sharing > Copy Public Link

When someone clicks the Public Link, your Note gets opened in the web browser as a web page.  So, anyone can see the contents of your Note.  They can’t modify a note shared with a Public Link so, you don’t need to worry about the Note permissions.

  • 00:38 The way that I am going to show you right now is slightly different because
  • 00:43 this way will allow you to collaborate on that note with other person.
  • 00:49 So let's take a look how you can do that.
  • 00:52 To share a note, you can go to Share, Share Note, right here in
  • 00:58 by clicking on the Share button in the upper right corner of the note.
  • 01:04 You can go to Note, Share Note from the main menu or
  • 01:08 you can also right-click and then Share your Note from here.
  • 01:15 Whatever you do, the next thing that will happen is that a work chat window
  • 01:19 will pop up, and you will be asked to enter the name or
  • 01:23 email address of the person that you want to share it with.
  • 01:26 Select me, and the option will be to add a message.
  • 01:31 What is different about this way of sharing your notes
  • 01:37 is that you can set permissions.
  • 01:40 And you can allow other person to collaborate with you on that note.
  • 01:45 So if you click on this little menu, you can see that you can allow
  • 01:49 other person to just view the note, you can allow them to edit it and
  • 01:55 also edit an invite so invite others to collaborate on the note, too.
  • 02:01 So basically, whenever you're collaborating on the same note,
  • 02:05 whenever somebody makes changes, they will be saved in Evernote.
  • 02:10 And whenever you look at that note again,
  • 02:12 it will include the changes that the other person or people made to that note.
  • 02:18 Once you hit share, that note is shared, and
  • 02:22 you will see right here that it's shared.
  • 02:27 If you shared the note and
  • 02:28 then you want to change permissions, you can certainly do that.
  • 02:34 So, again, the three ways to do it is that,
  • 02:37 if you click on the Share button right here, you can manage note permissions.
  • 02:43 And in the window that opens up,
  • 02:46 you will see the name of the person or people you share this note with.
  • 02:50 And from here, you can change permissions.
  • 02:54 So say, I can tell.
  • 02:57 I can just restrict permissions to just you.
  • 03:00 Save changes.
  • 03:04 Dismiss.
  • 03:05 You can also access note permissions from here.
  • 03:09 You can go to More Sharing, Manage Note permissions, or from the main menu.
  • 03:17 More sharing, manage note permissions.
  • 03:20 So you will use this method, once again,
  • 03:24 when you want to share your note with another Evernote user,
  • 03:28 especially if you want potentially to collaborate with them on that single note.
