Formatting Fonts

Format text with fonts and colors.

When to use

This is a standard function inside Word 2019. It adds uniformity to business documents and adds interest to less formal documents.

Instructions

  • Select a word* (with a click and drag, or a double click on a word).
    • Click the Font Style drop-down arrow and choose a font.
    • Click the Font Size drop-down arrow and choose a size.
    • Click the Font Color drop-down arrow and pick a color.

Hints & tips

  • Double-Click any word to select the word.
  • Triple-Click the word to select a paragraph.
  • CTRL A will select the entire document (or a triple-click in the left margin).
  • Pay attention to the mini-bar when it appears. It is useful and close to your work area.
  • If the font style and/or size box are blank, it is because your selection contains two or more styles and it is confused so it appears blank. Simply choose a font style or size and it will be fine.

  • 00:04 We're gonna continue on with the same letter from the last lesson, but
  • 00:07 I do wanna open up my ribbons this time.
  • 00:09 So I'm going to double-click on the Home ribbon to open up all my tools, so
  • 00:12 you can see this little group here called the Font Group.
  • 00:15 This is our Font Style, our Font Size, the Font Bigger,
  • 00:19 Font Smaller Change case, if I wanna change the case of the sentence.
  • 00:24 And just a little tip for you, any button with the letter A on it, means text, okay?
  • 00:30 So that just means basically text color, text size,
  • 00:33 change case, text art, I just wanna point that out to you.
  • 00:37 It'll help you as you use other softwares, all right, let's go ahead and get started.
  • 00:41 Now, the computer will only format what you have selected.
  • 00:44 So if I'm looking at the word, November, and I clicked into it,
  • 00:47 I actually haven't selected the word, I've just put my insertion point within it.
  • 00:51 To select it, you have to click and drag to select it, now, as soon as I let go my
  • 00:56 mouse from my click and drag up pops a little tool, this is called the Mini Bar.
  • 01:00 Now, notice the buttons on this mini bar happen to match the buttons right
  • 01:04 up above, in my ribbon.
  • 01:06 So the lesson here is that, you have a choice,
  • 01:07 you can use the buttons on the ribbon or as soon as you select the word you can
  • 01:11 choose to use the buttons that are right there within a corner inch of your mouse.
  • 01:15 Not such a big deal when I'm at the top of my document in the page,
  • 01:18 what about when I'm down here within this paragraph?
  • 01:21 So, if I click and drag this paragraph, look at this,
  • 01:25 all the buttons I need are right beside within a quarter inch of my mouse.
  • 01:28 Which means I don't have to travel my mouse way up to the ribbon to
  • 01:31 use these buttons, and then way back down.
  • 01:34 I just click and drag and there's the buttons right beside it.
  • 01:36 It's very convenient to have that mini bar show up where you need it.
  • 01:40 All right, let's go ahead and
  • 01:41 change some things. First of all I'm going to double click the word November.
  • 01:44 Double click, selects the word, whoops, double click selects the word,
  • 01:47 triple click, one, two, three, selects the entire line.
  • 01:51 I'm gonna go and select the line, I'm gonna change this font to Arial, and
  • 01:54 I'm gonna change this size to size 14.
  • 01:57 Notice that it looks a lot different from the rest of my letter, now,
  • 02:00 another thing I'm going to do is scroll down to the bottom and the word Sincerely,
  • 02:04 I'm going to change that font to Script.
  • 02:07 You can actually type your way to a certain font style 'cause it's
  • 02:12 a very long, long list of fonts.
  • 02:16 So sometimes typing your way to the font is faster than scrolling to it, and
  • 02:21 I'll make that a size 12, here we go.
  • 02:23 So I've got the word Sincerely, tells me it's a script font,
  • 02:27 I'm gonna scroll up and the November says Arial font, and
  • 02:31 the document, the paragraph, says Calibri font.
  • 02:34 Well, I've chosen three fonts, and as I click on each one, notice that it changes
  • 02:39 up on my toolbar, but now let's select all, let's select the entire document.
  • 02:44 Two choices, Ctrl + A means select all, Ctrl + A,
  • 02:48 didn't matter if it's a hundred pages you just selected at all.
  • 02:52 Or, if you move your mouse into the left-hand margin a triple click, one, two,
  • 02:56 three, in the left margin is the same as a select all,
  • 02:59 please notice on my mini bar notice.
  • 03:02 This is blank, my font style as blank,
  • 03:04 my font sizes blank same as up above, they're blank, the reason is.
  • 03:09 I just selected the entire document but
  • 03:11 within it are three different font styles and three different font sizes.
  • 03:14 I have confused the computer, it has no idea what I want.
  • 03:18 So, this is great time to set it all at the same time.
  • 03:21 So again, I select all one, two, three, select the entire document and choose one
  • 03:25 last time what I want the font styles to be, and I'm going to go with Arial.
  • 03:31 There's Arial Narrow, that's fine, and I'll go with a size 12,
  • 03:34 just to make it all uniform.
  • 03:36 There we go, I changed it one last time, now when I triple click in the margin,
  • 03:40 one, two, three, notice my font styles stay the same,
  • 03:43 it knows exactly what I want.
  • 03:45 One more thing, I wanna show you how to change font color.
  • 03:47 So notice the word Video, when I double click a word, it selects a word,
  • 03:51 triple click selects the entire paragraph.
  • 03:54 So I'm gonna double click a word, and
  • 03:56 on my mini bar is a little letter a which means font color.
  • 03:59 Click on that, that turned it red, I'm gonna click another word, video.
  • 04:03 Instead of red, I'm gonna hit the drop down beside it,
  • 04:05 and I'm gonna choose green.
  • 04:07 And one more, there's another word video right over here.
  • 04:10 Double click to select the word, and I'm gonna choose blue for that one.
  • 04:13 So this is how you can change font styles, font sizes,
  • 04:17 font colors just to dress up and make your document look nice and
  • 04:21 professional or personal, depending on your preferences.
