Quickly add multiple pictures to a presentation even in the format of two or four pictures per slide.

Photo Album

Using a photo album in a PowerPoint presentation.

When to use

To insert multiple pictures into a PowerPoint presentation quickly.

Instructions:

  • On the Insert tab, in the Images group, click the arrow below the Photo Album button, and select New Photo Album.
  • Select the File/Disk button to browse to and select multiple images.
  • Pictures in the album can be moved to change order, rotated and brightness and contrast adjustments made.
  • The Album Layout group governs how many pictures will be added per slide, the shape of the frame and whether you want to apply a theme.
  • Click Create to create the album.
  • Click the Insert tab, in the Images group, then click Photo Album drop-down arrow, and select Edit Photo Album to make changes to the album.

Also note:

Some changes made to the presentation may result in an inability to re-edit the created photo album.

Edit changes made within the Photo Album dialog box can be applied by clicking Update.

A photo album can be used as a temporary mechanism to insert pictures into a presentation quickly to copy across to the current presentation you are working on.

  • 00:13 To find the location, we click on the Insert tab of the ribbon.
  • 00:16 And within the Images group is the photo album, which is really a split button.
  • 00:21 Now, notice at this stage the only option available is to create a new photo album.
  • 00:26 So what that means is that if you have an existing presentation open,
  • 00:30 you can't insert a new photo album into that presentation,
  • 00:33 you can only create a new one.
  • 00:35 But we'll explore a little work-around later on.
  • 00:38 So we click the New Photo Album button and the photo album dialog box pops up.
  • 00:43 The first thing to do is to populate the album with some content.
  • 00:46 So insert pictures from file disk.
  • 00:50 Then I click on this folder, I select the first picture with the mouse.
  • 00:55 Hold the Shift key and select the last picture which automatically
  • 00:57 selects all of the pictures in a sequence.
  • 01:00 If I wanted to select individual pictures not in a sequence,
  • 01:03 I will hold the Ctrl key as I select each picture.
  • 01:07 We click the Insert button and
  • 01:08 there are our pictures within the dialogue box as well as a preview of them.
  • 01:12 Now, I can do some further editing of the pictures, such as rotating them or
  • 01:17 changing the brightness and contrast.
  • 01:19 I can move their order up and down, as well as remove them.
  • 01:22 And you can change the picture layout within the album layout area such as
  • 01:27 pictures per slide and the frame shape.
  • 01:30 I will change to, for example, a rounded rectangle.
  • 01:33 We can browse for theme if we wish.
  • 01:35 I prefer to do that within the actual presentation itself.
  • 01:38 And we get a preview of our layout.
  • 01:40 Click Create and there, built very quickly.
  • 01:43 So that's our PowerPoint slide with images that we selected placed on them.
  • 01:48 It's a very fast way of building a presentation out of a whole
  • 01:50 bunch of pictures.
  • 01:52 It drives me mad when I see people inserting a picture,
  • 01:56 inserting a picture, inserting a picture, and just wasting so much time.
  • 02:00 So now that the photo album is built, when we go back into the insert Tab and
  • 02:04 look at the Photo Album split button, we have options available to either create
  • 02:09 a new photo album, or we can edit the current photo album.
  • 02:13 So let's go in and edit that photo album.
  • 02:16 We can add pictures, Delete them or move them around.
  • 02:19 Or we could change the album to pictures per slide.
  • 02:23 And then, we click the Update button and PowerPoint goes away and
  • 02:26 rebuilds the presentation very quickly and incorporates the changes that we selected.
  • 02:31 So you can essentially open this presentation again in a month's time and
  • 02:35 the photo album and these options would still be available.
  • 02:39 Now, something that we mentioned briefly earlier is what if you want to insert
  • 02:43 a whole bunch of pictures into a presentation but you can only create a new
  • 02:47 photo album and not build a photo album within an existing presentation?
  • 02:52 What I would do is create a new photo album almost as a temporary container for
  • 02:56 all those pictures on your slides.
  • 02:58 Then, select all of the slides, Copy all of them and
  • 03:01 Paste them into your existing presentation of slides.
  • 03:04 So even though you can only ever create new albums or edit existing ones,
  • 03:09 of course, you can certainly use the feature to effectively insert multiple
  • 03:12 pictures into a presentation, and quickly build a whole story.
  • 03:18 So keep the photo album feature in mind.
  • 03:20 It will certainly save you a lot of time.
