Using a photo album in a PowerPoint presentation.

When to use

To insert multiple pictures into a PowerPoint presentation quickly.

Instructions:

  • On the Insert tab, in the Images group, click the arrow below the Photo Album button, and select New Photo Album.
  • Select the File/Disk button to browse to and select multiple images.
  • Pictures in the album can be moved to change order, rotated and brightness and contrast adjustments made.
  • The Album Layout group governs how many pictures will be added per slide, the shape of the frame and whether you want to apply a theme.
  • Click Create to create the album.
  • Click the Insert tab, in the Images group, then click Photo Album drop-down arrow, and select Edit Photo Album to make changes to the album.

Also note:

Some changes made to the presentation may result in an inability to re-edit the created photo album.

Edit changes made within the Photo Album dialog box can be applied by clicking Update.

A photo album can be used as a temporary mechanism to insert pictures into a presentation quickly to copy across to the current presentation you are working on.

  • 00:13 the location, we click on the insert tab of the ribbon, and within the images group is the photo album, which is really a split button. Now notice
  • 00:21 at this stage the only option available is to create a new photo album. So what that means is that if you have an existing presentation open,
  • 00:28 you can’t insert a new photo album into that presentation; you can only create a new photo album. But we will explore a little work around
  • 00:38 for that later on. So we click the new photo album button, and the photo album dialog box pops up. The first thing to do is to populate the
  • 00:47 album with some content. So insert pictures from file/disk, there is a picture of my granddaughter, and I click on this folder. I select
  • 00:56 the first picture with the mouse, hold the SHIFT key and select the last picture which automatically selects all of the pictures in that
  • 01:03 sequence. If I wanted to select individual pictures not in a sequence I would hold the CTRL key as I select each picture. We click the
  • 01:12 insert button and there are our pictures within the dialog box as well as a preview of them. Now I could do some further editing of the pictures
  • 01:19 such as rotating them, or changing the brightness and contrast. I can move their order up or down as well as remove them. And you
  • 01:28 can also change the picture layout within the album layout area, such as 2 pictures per slide. And the frame shape I will change to, for
  • 01:38 example, a rounded rectangle. We could browse for a theme if we wish; I prefer to do that within the actual presentation itself. And we get a
  • 01:46 preview of our layout. Click create, and there, built very quickly, is our PowerPoint slides with the images that we selected placed upon them.
  • 01:54 It’s a very fast way of building a presentation out of a whole bunch of pictures. And now that the photo album is built, when we go back to the
  • 02:02 insert tab and we look at the photo album split button, we have 2 options available: to either create a new photo album, or we can edit the
  • 02:10 current photo album. So let’s go in and edit that photo album. We can add pictures, delete them or move them around. Or we can change the
  • 02:19 album to 4 pictures per slide, and then we click the update button, and PowerPoint goes away and rebuilds the presentation very quickly,
  • 02:27 incorporating the changes that we selected. So you can essentially open this presentation again in 12 month’s time and the photo album, and
  • 02:36 these options would still be available. Now something that we mentioned briefly earlier is: what if you would like to insert a whole bunch of
  • 02:44 pictures into a presentation, but you can only create a new photo album, and not build a photo album within an existing presentation? What I
  • 02:54 would do is create a new photo album, almost as a temporary container for all of those pictures on your slides, then select all of the slides, copy
  • 03:01 all of them and paste them into the existing presentation as slides. So even though you can only ever create a new photo album, you can
  • 03:10 certainly use the feature to effectively insert multiple pictures into a presentation and quickly add them to your existing presentation. So keep
  • 03:19 the photo album feature in mind; it will certainly save you so much time.
