Format text with fonts and colors

When to use

This is a standard function inside Word 2016. It adds uniformity to business documents and adds interest to less formal documents.

Instructions

  • Select a word* (with a click and drag, or a double click on a word)
    • Click the Font Style drop-down arrow and choose a font
    • Click the Font Size drop-down arrow and choose a size
    • Click the Font Color drop-down arrow and pick a color

*Tips:

  • Double-Click any word to select the word.
  • Triple-Click the word to select a paragraph.
  • CTRL A will select the entire document
    (or a triple click in the left margin)
  • Pay attention to the mini-bar when it appears. It is useful and close to your work area.
  • If the font style and/or size box are blank, it is because your selection contains two or more styles and it is confused so it appears blank. Simply choose a font style or size and it will be fine.

  • 00:05 In this lesson, we're gonna work on formating the fonts and the styles and
  • 00:09 just working with some of the texts.
  • 00:11 I have the existing letter that we did in our previous lesson and we'll go ahead and
  • 00:15 work with this.
  • 00:16 And so, what I wanna do is first of all,
  • 00:19 we're going to change the font style of the date.
  • 00:22 And so, let's just first of all observe.
  • 00:25 I am on my home ribbon.
  • 00:26 I have some my font group right up here.
  • 00:30 I also have my quick access viewable with my font, some font formatting items here.
  • 00:35 But there's another you're about see, and so when I just click and drag the date,
  • 00:40 and I can click and drag from the left to the right or right to left.
  • 00:44 But when I click and drag and then let go, this is called a mini bar.
  • 00:48 And that gives you the same font style and tools that I have on my home ribbon and
  • 00:52 on my Quick Access file.
  • 00:54 Now, it's not so handy right there because I’m at the top of my document next so
  • 00:59 on my tools.
  • 01:00 But if I scroll on down here and I wanna do something with sincerely and let go,
  • 01:04 look at that, that mini bar is right where I need it, right where my mouse is.
  • 01:08 So that's a convenience,
  • 01:09 and just kind of the nice feature of having that mini bar around.
  • 01:13 Let's go up here again.
  • 01:15 Let's select the date.
  • 01:17 When I select that,
  • 01:19 I need you to remember that the computer only works with what you tell it to.
  • 01:23 So if you got your insertion points sitting right there inside the 2016,
  • 01:27 it's not gonna do anything.
  • 01:29 You haven't selected anything for it to work with.
  • 01:32 You've got to literally click and drag a word or
  • 01:37 you could also double click, double click, will select a word.
  • 01:41 In fact, anywhere on the screen, a double click will select a word.
  • 01:45 And a triple click will select a paragraph.
  • 01:48 So if I triple click one, two, three inside this paragraph, I just selected it.
  • 01:53 Now, watch with the date by triple click, one, two, three on that line.
  • 01:56 It will select the line.
  • 01:59 So it's just kinda convenient.
  • 02:00 So now that I have the selected, I'm going to make this in Arial, and
  • 02:05 I'm gonna use my mini bar right up here, Arial and size 12.
  • 02:09 There we go.
  • 02:11 Now, you can observe and see that obviously there's a big difference between
  • 02:14 the date format and the rest of the letter format.
  • 02:18 Well, if you like that, the date format, and you wanna change it all to the same,
  • 02:22 to Arial size 12, all you have to do, I'm not gonna click and
  • 02:26 drag this whole letter.
  • 02:28 I'm gonna select all.
  • 02:29 Now, select all on the keyboard is Ctrl+A.
  • 02:32 A stands for All.
  • 02:33 So Ctrl+A will select the entire thing.
  • 02:35 Or there's another trick, over here in the margin of the paper I can triple
  • 02:40 click in the margin, one, two, three.
  • 02:43 We'll select all, doesn't matter if it's one page or one hundred pages,
  • 02:47 you just selected the whole thing, again, your personal preference.
  • 02:50 Now, notice what happened to my font style,
  • 02:53 and my font size on my quick access.
  • 02:55 And also in my home ribbon, they're blank.
  • 02:57 It's because it's confused.
  • 02:59 It sees one style and size on the date, and a different style and
  • 03:03 size on the letter.
  • 03:05 So it doesn't know what I want, so it went completely blank.
  • 03:08 So all we have to do is be the boss and tell it I want it all to be Arial.
  • 03:13 And I want it all to be size 12, and now it is.
  • 03:16 It's all uniform.
  • 03:17 And I can confirm that by actually having the font style and size show up there.
  • 03:21 Let's apply some colors.
  • 03:23 So right down here I have the word video, so
  • 03:25 I'm gonna double-click the word video to select the word.
  • 03:29 My mini bar came right up and
  • 03:30 look at that, font red is right there being offered to me.
  • 03:33 I like that.
  • 03:34 I'll go ahead and click font red.
  • 03:36 Right under it ,I have another word video.
  • 03:38 Double-click that one.
  • 03:39 And my mini bar comes up.
  • 03:41 This time I'm gonna hit the drop-down arrow and I'm gonna choose a bright blue.
  • 03:45 And another word, video, right over here.
  • 03:47 The third line of that first paragraph.
  • 03:48 Double click that video and I'm gonna hit the drop-down and change that to green.
  • 03:53 So that's how you can change color of certain words to make them stand out.
  • 03:58 Give a little pizzaz to your document.
  • 04:01 And right over here on the word sincerely, I'm gonna double click on that one and
  • 04:06 apply a completely different font style called Script.
  • 04:09 Now, it's way down on the list so if I just type in S, there comes all the Ss.
  • 04:15 Right there and it even knows which one I want Script.
  • 04:18 And so, I'll go ahead and hit Enter to select to that one and there we go.
  • 04:22 Now, Script is a very cursive writing, a very pretty writing.
  • 04:27 I can use that for a personal letter.
  • 04:29 Certainly never for a professional letter, but I just wanted to show you your options
  • 04:34 for this font styles, I don't wanna say they're endless cuz they're endless, but
  • 04:39 there's still many of them it's from the experiment.
  • 04:42 So that's your lesson on changing formatting inside a letter.
