Show and Zoom Controls

How to quickly add the Navigation pane and quickly zoom in and out of the document.

When to use

The Show and Zoom controls are invaluable as you become an advanced MS Word user.  They will assist you in viewing multiple pages, or zooming closely into a section of a page.

Instructions

Click the VIEW ribbon, and in the SHOW group,
- Put a checkmark in the Ruler and Navigation Pane boxes.
- Also click the Gridlines box to see what happens, then turn it off again. Gridlines is not something that would stay on the screen very long.  It is mainly used to visually align text or graphics.

Click through the Zoom control settings and observe the results on your screen. 

You may decide to add some of these buttons to your Quick Access Bar.  Here’s how:

- Right click the button you want to add, and select “Add to Quick Access Toolbar”

It may be a good idea to add the buttons “One Page”, “Multiple Pages” and “Page Width” to your Quick Access Bar.  They are very useful when working on large Word documents.  They will appear like this on your Quick Access Bar:

  • 00:13 We're on the View ribbon and right over here we have the Show section.
  • 00:17 Now on the Show section, I always have my rulers on, which you've seen many times in
  • 00:21 the videos already, and I always have my Navigation Pane on.
  • 00:25 I am a better Microsoft Word user because of this Navigation Pane.
  • 00:29 I love it, I love the Headings, and the Pages, and the Results section.
  • 00:32 So I always have that on.
  • 00:33 But one thing you don't see often is the Gridlines section.
  • 00:36 I'll go ahead and activate it so you can see what happens on the screen.
  • 00:40 Notice a little grid that laid itself on the background.
  • 00:43 Now, generally, we would use this if we're trying to put a shape exactly,
  • 00:49 precisely on the screen.
  • 00:50 Now I'm clicking and dragging the shape, it is snapping itself onto the grid.
  • 00:55 When I let go and try to move it, it snaps itself.
  • 00:58 I'm just gently moving it.
  • 00:59 But it is locking itself onto these lines with a little skip of its own.
  • 01:04 So, just so you know that, that is what happens when you use the grid.
  • 01:08 Your shapes will snap to the grid and it just helps you align things better.
  • 01:12 I'll go ahead and delete that shape and I'm gonna go back to my View and
  • 01:15 turn off my gridlines.
  • 01:17 Because in my opinion,
  • 01:18 it's visual noise that I don't need when I'm just working on a main document.
  • 01:22 All right, let's move on to the Zoom section.
  • 01:25 You have a little magnifying glass here.
  • 01:27 When I activate that, I get my Zoom control.
  • 01:30 And I can zoom this to 200%, when I hit OK it just zooms in really big 200%.
  • 01:36 I can go back to 100% if I want, I can go to 75%.
  • 01:41 I can type 55% and hit OK and notice a couple things are happening.
  • 01:48 You don't have to do this all from the View and the Zoom section.
  • 01:51 If you'll take a look in the bottom right-hand corner,
  • 01:54 I just set that to 55% and look at here.
  • 01:57 It also says 55%.
  • 01:59 I also have a lever.
  • 02:00 I can click and drag this lever and choose this.
  • 02:03 I can click on the 100% and
  • 02:05 this same screen comes up that was under my View and my Zoom control, right there.
  • 02:10 So there's a couple ways to get there.
  • 02:12 Generally, I'm gonna use the one in the bottom right-hand corner cuz I'm not
  • 02:15 always on my View ribbon.
  • 02:18 So I'll hit Cancel.
  • 02:19 I do wanna show you one more trick, and I wish I could hold up a mouse in front of
  • 02:23 you so you could see the wheel on my mouse.
  • 02:25 Cuz when I hold down my Ctrl key on my keyboard and wheel up, I zoom in.
  • 02:31 And when I Ctrl+wheel down, I zoom out.
  • 02:34 And notice, watch the lever in the bottom right-hand corner, and
  • 02:37 watch the Zoom control measurement change as I Ctrl+wheel up and wheel down.
  • 02:41 I'm not doing anything special here other than on the fly changing my Zoom control.
  • 02:47 All right, one last trick of the trade, still on the View ribbon,
  • 02:51 on the Zoom control, we have One Page, click, shows me just one full page.
  • 02:56 Multiple Pages, we'll stack them side by side and
  • 02:59 notice I have many multiple pages in here.
  • 03:02 And Page Width, that will show me one page, but the width of the screen,
  • 03:06 very nice.
  • 03:07 Well I love those buttons.
  • 03:08 I use them all the time.
  • 03:10 But sometimes it's hard to remember, now where were they?
  • 03:12 Or I'll use them less if they're not at the ready.
  • 03:15 So in the second video of this lesson I had you set up your Quick Access toolbar
  • 03:19 and I showed you how to add buttons when you're ready for more buttons.
  • 03:22 Well this is one of those times where we are ready to add these three buttons
  • 03:26 to our Quick Access toolbar cuz we want them to be available when we need them.
  • 03:30 So simply hit your right mouse button on One Page, Add to Quick Access, and
  • 03:35 there it is.
  • 03:36 Hit your right mouse on Multiple Pages, Add to Quick Access, there it is.
  • 03:39 And the last one, Page Width, Add to Quick Access.
  • 03:42 So now when I'm on my Home ribbon or another ribbon, I don't have to think
  • 03:46 about, where is that, where were those features on the View ribbon.
  • 03:50 They're right here on my Quick Access at the ready.
  • 03:53 All right, thank you so much.
  • 03:55 Use those features, they're wonderful.
