Show and Zoom Controls

How to quickly add the Navigation pane and zoom in and out of the document.

When to use

The Show and Zoom controls are invaluable as you become an advanced MS Word user. They will assist you in viewing multiple pages, or zooming closely into a section of a page.

Instructions

Click the View Ribbon, and in the Show Group,

  • Put a checkmark in the Ruler and Navigation Pane boxes.
  • Also click the Gridlines box to see what happens, then turn it off again. Gridlines is not something that would stay on the screen very long. It is mainly used to visually align text or graphics.

Click through the Zoom control settings and observe the results on your screen. 

You may decide to add some of these buttons to your Quick Access Bar. Here’s how:

  • Right click the button you want to add, and select “Add to Quick Access Toolbar”.

It may be a good idea to add the buttons “One Page”, “Multiple Pages” and “Page Width” to your Quick Access Bar. They are very useful when working on large Word documents. They will appear like this on your Quick Access Bar:

  • 00:04 All right, staying focused on the View ribbon,
  • 00:07 I wanna show you one other thing before we get into the Zoom controls.
  • 00:10 We didn't really talk about the Gridlines.
  • 00:13 Now, why in the world would you ever put gridlines on your screen?
  • 00:16 Let me show you a reason.
  • 00:17 First of all, I'm gonna remove those and go to Insert > Shape, and
  • 00:21 I'm gonna just grab a square.
  • 00:23 And I'm gonna drag a square shape on here, and I'm gonna move the square around.
  • 00:26 Now notice, it's just kinda smoothly moving around.
  • 00:30 Until I go to my View ribbon and put Gridlines on.
  • 00:34 See the reason the gridlines are there is 'cause the shape, instead of smoothly
  • 00:37 moving around, now it's kinda jump, jump, jumping to the grid itself.
  • 00:41 It's kind of allowing me to determine which line to line it up on.
  • 00:45 See, snap-to-grid is what they call it.
  • 00:50 So the reason I would use the grid is if I want to
  • 00:53 particularly put a shape in a certain spot.
  • 00:56 I just wanted to revisit that with you.
  • 00:58 I'm going to delete that shape, and I'm gonna turn off my gridlines.
  • 01:01 And let's go focus on the Zoom control.
  • 01:03 Now, the Zoom control on the View, we have a magnifying glass,
  • 01:07 100%, One Page, Multiple Page, and Page Width.
  • 01:11 If I go ahead and click on Zoom, right here, I can tell it to go zoom my
  • 01:15 page 200%, 75%, Page width, Text width, Whole page.
  • 01:20 Notice the percentage is changing right over here.
  • 01:22 What about many pages?
  • 01:23 It's going to stack them all in a row.
  • 01:26 Well, the magnifying glass that we saw up above does control all of these, but
  • 01:30 they've also broken it down into individual little buttons.
  • 01:34 So I can just choose one of those as I need it.
  • 01:37 Notice also I do have a percentage here, that says 10%.
  • 01:40 I could type 23% if I wanted.
  • 01:42 All right, I'm gonna hit Cancel and show you another place to get the same thing.
  • 01:46 If you'll take a look down on the bottom right hand corner of Microsoft Word we
  • 01:50 have an option that has little levers.
  • 01:52 It's called the zoom levers.
  • 01:54 So I can zoom out, or I get the plus sign, I can zoom in, or notice this 100%.
  • 01:58 I can click that and get the same box that I got here on my View and
  • 02:03 the Zoom magnifying glass right here.
  • 02:05 It's your personal preference, but
  • 02:07 honestly I rarely remember that these are located on the View ribbon, so
  • 02:11 hitting that 100% in the corner, it kind of works really fast.
  • 02:14 Well let's take this one step further.
  • 02:16 I absolutely want to be able to look at these as a 100% screen, or one full page,
  • 02:23 or multiple pages on my screen, or just the page with one single page.
  • 02:28 But again, I'm not gonna remember they're on the View ribbon.
  • 02:31 In the second lesson of this portion we talked about the quick access toolbar, and
  • 02:35 adding certain buttons on there.
  • 02:37 So if at the time you did not add these zoom controls to your quick access,
  • 02:41 now would be a great time.
  • 02:43 And remember the rule anytime we ask the question how do I?
  • 02:46 The answer is right-click.
  • 02:47 So we can right-click and add this button to our quick access.
  • 02:51 That line is grayed out because it's already on the quick access.
  • 02:55 I can right-click on this one page.
  • 02:57 Add to Quick Access.
  • 02:58 Right-click Multiple Pages.
  • 02:59 Right-click Page Width.
  • 03:01 Add to Quick Access.
  • 03:02 Now, the Zoom control isn't on my Quick Access.
  • 03:05 So I'll go ahead and add that.
  • 03:06 Right-click, add to Quick Access, and now I have a magnifying glass right over here.
  • 03:10 Now, the beauty of having those on your Quick Access Toolbar is 'cause now I can just
  • 03:15 click, and view it any way I want, depending on what I need to see.
  • 03:19 Now the multiple pages I can still control wheel down to scroll into this,
  • 03:23 and that's the beauty also, I didn't mention that.
  • 03:26 Let me go to 100% on this page, the Zoom control is hold control and
  • 03:31 scroll the mouse wheel up or down.
  • 03:34 I wish I could hold a mouse up in front of you right now and
  • 03:36 show you the wheel on my mouse.
  • 03:37 When I hold down Control and wheel up, it scrolls in, or wheel down,
  • 03:41 scroll down that keep your eyes on the bottom right-hand corner as I do this and
  • 03:45 as you do this control wheel up.
  • 03:47 Changes the zoom, control wheel down, and that is my preferred way to Zoom control.
