Learn about using multiple windows to view the same or various documents side-by-side.

When to use

The option to View Multiple Windows will become a valuable tool as you become an advanced MS Word user.  Whenever you need to compare two or more documents, or simply compare far-away pages in one document, the Windows features will help you work efficiently.

Instructions

Click the VIEW ribbon, and in the WINDOW group, observe the available options.

Click View Side by Side to view multiple documents simultaneously. When two documents are open, you can synchronize the scrolling (or not).

Use the Split Window button to split the view of one document into two sections:

Click Switch Windows to quickly switch back and forth from one document to another.

Arrange All windows will horizontally align all open documents or windows.

  • 00:04 In this lesson, you're going to learn how to manage multiple windows.
  • 00:08 If I've got two pieces of paper that I need to compare on my desk,
  • 00:11 I simply lay them side by side and I do a visual comparison.
  • 00:15 Well here's how to do that same thing in Microsoft Word.
  • 00:18 If you'll click on your View ribbon, you'd have a Windows group.
  • 00:21 And right over here, we have a button that says Switch Windows.
  • 00:24 Now the Switch Windows simply allows us to see
  • 00:27 one screen from the other different documents.
  • 00:30 And I've got lesson 39 open, and here I've got lesson 40 open.
  • 00:34 But that doesn't help me see them side by side.
  • 00:36 That basically creates a shuffle effect.
  • 00:39 Well, the next button to the left says View Side by Side.
  • 00:42 When you click this, a couple things are gonna happen.
  • 00:44 My ribbon's gonna shrink, cuz the windows are going to shrink.
  • 00:47 But the other button right below this, is gonna light up.
  • 00:50 So I'll go ahead and click View Side by Side, they shrunk up,
  • 00:54 if you float your mouse there, it says View Side by Side, I could turn it off,
  • 00:58 and the next one says, Synchronize Scrolling, so watch what happens.
  • 01:01 When I click into this document and scroll, both documents on
  • 01:06 either side are scrolling at the same time called synchronized scrolling.
  • 01:10 If I don't want that to happen, I simply turn off Synchronized Scrolling and
  • 01:14 now I can scroll the left side but the right side will stay in place.
  • 01:18 If you don't want any of this to happen,
  • 01:20 simply turn of the View Side by Side and that all goes away.
  • 01:24 Well that's very nice when you've got two documents,
  • 01:26 different documents you'd like to see side by side.
  • 01:28 In this case, I wanna see a section of this long document.
  • 01:32 This lesson 40 is a seven page document.
  • 01:34 There's text on Page 7 that I need to compare to text on Page 1.
  • 01:38 Instead of scrolling down and back and forth, what I'm going to do
  • 01:42 is I'm going to click this button called Split, I'm gonna split this window.
  • 01:46 Now notice, when I hit Split, that button immediately changes to Remove Split,
  • 01:51 and I have a line across my screen.
  • 01:53 Now this is the same document.
  • 01:55 I am on Page 1 up here, and I'm on Page 1 down on the bottom section.
  • 01:59 But I can easily scroll down or go to all the way to the bottom to the last page and
  • 02:05 find the text that I want to compare to, there it is.
  • 02:08 All right, so here I've got Page 1 text compared to Page 7 and
  • 02:14 this is Page 7 text compared to Page 1 right by each other, no scrolling,
  • 02:18 no shuffling, no zooming around.
  • 02:21 This is the most efficient way to compare two parts of a document that are far away
  • 02:25 from each other.
  • 02:25 And now we are going to hit that Remove Split and
  • 02:28 a Ctrl+Home takes us back up to the top.
  • 02:31 Now we've got this next button.
  • 02:33 This is called Arrange All.
  • 02:34 Now this is going to, when I click it, arrange both open documents side by side,
  • 02:40 but top and bottom, okay, so horizontally.
  • 02:44 Whereas View Side by Side made them line up vertically.
  • 02:47 The Arrange All actually allows them to line up horizontally.
  • 02:51 And it all depends on you, and what you want to see, and what you're comparing.
  • 02:54 But just so you know, these buttons are invaluable.
  • 02:57 Actually, I just wanna go back to my lesson 40.
  • 03:01 Go ahead and maximize my screen on lesson 40.
  • 03:03 Pay attention to this now, and
  • 03:05 that is a beauty of managing your windows with the View ribbon, the Window feature.
  • 03:10 It will make you a better Microsoft user because you'll be more efficient.
