Working with Pictures

Inserting pictures from the Internet or your computer.

When to use

To insert one or more pictures onto a slide.

Instructions

Insert a picture off the Internet

  • On the Insert tab, in the Images group, click Online Pictures, and select the search method, such as Office.com Clipart. Type a search term into the search box, press Enter on the keyboard or click the search icon, click the image preview of the image you want to insert, and then click Insert.
  • To insert multiple pictures, click the image preview of the image you want to insert, hold down the Ctrl key and with the pointer select one or more additional image previews, and then click Insert.

Insert a picture from your computer

  • On the Insert tab, in the Images group, click Pictures, and browse to the location of the picture in the Insert Picture dialog box, select the picture, and then click either:
    • The Insert button to insert the picture directly, or
    • The Insert drop-down arrow and select Link to File. Make sure that if you link to file you distribute the pictures with the presentation.
  • To insert multiple pictures, click the Insert tab, and then click Pictures, and browse to the location of the picture in the Insert Picture dialog box, select the picture, hold down the Ctrl key and select other pictures with the pointer, and then click either:
    • The Insert button to insert the picture directly, or
    • The Insert drop-down arrow and select Link to File. Make sure that if you link to file you distribute the pictures with the presentation.

Also note:

The Link to File and Insert and Link menu items in the drop-down arrow in the Insert Picture dialog box perform the same function.

  • 00:04 Sooner or later you're going to need to insert pictures onto your slides and
  • 00:08 probably sooner rather than later.
  • 00:11 Now, the pictures can be inserted off your computer or off the Internet.
  • 00:15 Adding from the computer is as simple as selecting the Insert tab, Pictures button,
  • 00:20 browsing to our picture on the hard drive and directly inserting.
  • 00:24 We can drop this little insert arrow down and link to the picture as well.
  • 00:28 Remember though, if you're linked to a picture and you distribute a presentation,
  • 00:33 you must distribute the pictures as well as the presentation or
  • 00:36 the pictures will not appear.
  • 00:38 The best option I think is to make sure that your pictures work in a
  • 00:41 presentation and save them in the folder that your presentation is in.
  • 00:46 And so that when you transfer the folder, the images that appear in the presentation
  • 00:50 will be in the same folder on another computer.
  • 00:53 Notice that you can also further filter the picture tops that you're looking for
  • 00:57 by dropping down that little arrow and selecting a particular picture format.
  • 01:02 To insert pictures off the Internet, select the Online Pictures button.
  • 01:06 And we're given the option to search within Bing and
  • 01:11 other online storage systems or depending on your computer and what is hooked in.
  • 01:17 There may be other configurations as well.
  • 01:21 So we select in the search box, type in what we are searching for, and
  • 01:24 we get a range of results to displayed as thumbnails.
  • 01:28 Or we can go to a particular group of images.
  • 01:31 We can see a preview of the picture.
  • 01:32 Remember that we can select more than one image by clicking on a particular
  • 01:36 thumbnail and so forth and selecting them with the mouse.
  • 01:41 When we click Insert, the picture will be inserted on the slide.
  • 01:45 And remember that you must always respect the copyright of the owner of the image.
  • 01:48 And that's particularly important when you use online search engines such as
  • 01:53 Google or Bing.
  • 01:55 Because you're not always aware of who the owner of the image is.
  • 01:59 And with the picture on the slide, we can change Picture Styles,
  • 02:04 add a correction, a color, or an artistic effect.
  • 02:08 We can also remove the picture background.
  • 02:09 And that's the objective of another video.
  • 02:11 So let's browse through some of the effects that can be applied.
  • 02:14 Corrections allows us to soften or
  • 02:17 sharpen the image as well as change the brightness and the contrast.
  • 02:21 Color can change the saturation or
  • 02:23 the tone of the color itself, artistic effects.
  • 02:27 Notice as I move the mouse over various thumbnails of options,
  • 02:30 how the picture updates.
  • 02:31 And there are various picture styles plus borders and various pictures effects.
  • 02:37 Now this Picture Layout button is all about SmartArt graphics.
  • 02:41 So on the Format tab, we can go Picture Effects > Soft Edge.
  • 02:46 And we can apply a 25 Point effect to that.
  • 02:50 Now you need to practice with these options because you may not always get
  • 02:53 the result that you desire.
  • 02:55 And notice also the option such as faded edge can be applied.
  • 02:59 But then if we change to another effect such as Metal Frame,
  • 03:02 it will probably undo the previous effect that was applied.
  • 03:06 Because it's an edge effect of a different kind.
  • 03:08 Again, if we add an artistic effect,
  • 03:10 it does respect the soft edge that we previously applied.
  • 03:13 And that's something that you're going to have to experiment with to understand how
  • 03:17 the various effects work together.
  • 03:19 Now a really great feature is the Reset Picture button, and
  • 03:22 that's the subject of another video.
  • 03:24 But the little dropdown arrow allows us either to reset the picture itself,
  • 03:29 or reset both the picture and its size.
  • 03:32 And then you can start again in formatting that picture.
  • 03:35 So it's not really undo, it's a reset.
  • 03:39 You could close the presentation down and open up a year later and
  • 03:42 it will still reset that picture.
  • 03:44 I use it from time to time if a picture effect has been applied to a picture just
  • 03:48 to see what the original picture was like in terms of its size,
  • 03:52 its clarity, and whether it was cropped or not.
  • 03:55 So PowerPoint's not a high-end graphic program but it's not too bad either.
  • 03:59 It's easy to insert pictures, it's easy to apply various effects, and
  • 04:03 even to reset the whole picture and start again.
  • 04:06 But remember to always respect the copyright of the owner of the picture.
  • 04:10 And be careful that if you link an image from within a presentation,
  • 04:13 you must distribute those pictures with the presentation
  • 04:16 preferably in the same folder.
  • 04:18 Or people will not be able to see the images in the presentation when
  • 04:21 it's opened at the other end and that's embarrassing.
