Working with Slide Sections

Grouping slides with sections.

When to use

To consolidate slides into groups of ideas supporting your storyboard.

Instructions

  • To insert a section, click anywhere in the Slides Pane or Slide Sorter View:
    • On the Home tab, in the Slides group, click the Section button.
    • On or between slides right click and select the menu item Add Section.
  • To rename a Section, select the Section header and:
    • Right-click and select the Rename Section option, or
    • Press F2 on the keyboard.
  • To add new slides within a Section simply add the new slide under the Section name.
  • Slides can be dragged from within one Section into another Section with the pointer.
  • An entire Section can be moved by dragging the section title with the pointer and dropping at a new location.
  • A collapsed Section can be expanded by double-clicking the Section title or right-clicking the Section title and selecting Expand All.
  • And expanded Section can be collapsed by double-clicking the Section title or right-clicking the Section title and selecting Collapse All.
  • The section can be deleted by selecting the Section title with the pointer and pressing the Delete key, or right-clicking the Section title and selecting Remove Section. The slides won’t be deleted.
  • To delete a section on all slides within it right-click the selection title and select Remove Section & Slides.

Also note:

Sections allow multiple people to work on a part of a presentation within a Section. Selecting the Section title also selects all slides within that Section.

  • 00:05 Sometimes when you're working on a complex project, somebody says to you, well,
  • 00:08 break it down into manageable parts.
  • 00:10 Having worked in science a number of years,
  • 00:12 I've always said that there's logic and order in everything that's around us.
  • 00:15 And it should be the same when we build a presentation.
  • 00:19 We're going to look at sections and how they allow us to group slides
  • 00:21 around ideas, as well as manipulate them as a group or individually.
  • 00:26 So in this particular storyboard, I'm going to start by identifying the pain.
  • 00:31 So I right click, Add Section menu item,
  • 00:35 we get a default section immediately, as well as an untitled section.
  • 00:40 So right-click on the section title and select Rename, and
  • 00:44 I will call that The Pain.
  • 00:46 So that's the first part of my story, the second part is to quantify the impact, so
  • 00:51 right-click, Add Section, and type in Impact.
  • 00:55 The value of this is really demonstrated in slide sorter view.
  • 00:59 We can click on a section title and when I do it,
  • 01:01 it highlights all of the slides in that section.
  • 01:04 This is really handy if you have a presentation with lots of slides that
  • 01:07 you need to be able to manipulate as groups of slides.
  • 01:10 I can click the little collapse button beside the section title and
  • 01:14 minimize them, or I can select the particular section and move it around.
  • 01:18 I can also maximize them and move them around to a new location.
  • 01:22 On the right-click I get the menu item to remove the section & slides or
  • 01:26 all sections.
  • 01:28 I can also expand all, if I wish.
  • 01:30 And it's also very easy to move slides around within sections and
  • 01:34 between sections, which is really useful.
  • 01:37 I can even right-click within slide sorter view and
  • 01:39 add a new slide within a particular section.
  • 01:42 And so our storyboard can be built up very quickly in this particular view.
  • 01:47 Note that in slide show mode, when you play your presentation,
  • 01:50 PowerPoint will automatically show the first slide
  • 01:54 in the next section after the last slide in the previous section.
  • 01:58 So slides are no barriers to slide movement in a slideshow.
  • 02:02 It pretty well ignores sections and displays slides in a linear fashion.
  • 02:07 Sections are such a valuable tool to group and
  • 02:09 consolidate your slides into thoughts and ideas.
  • 02:12 They're easy to create and manipulate, and you can give them titles, so
  • 02:16 that they represent groups of ideas.
  • 02:18 When you run your slide show, no one will even see the sections,
  • 02:20 which is even better.
  • 02:21 So they're well worth exploring, and
  • 02:23 it's a feature of PowerPoint that I really love and I use all of the time.
