Inserting Page Breaks and Blank Pages
How to control page breaks and add blank pages.
When to use
Inserting a new page, a blank page or breaking to a new page is a simple process, but can be slightly intimidating. Using the Page Break feature is the ideal way to control it.
Instructions:
Note: It is a good practice to View, Navigation Pane. This allows you to observe the pages on the left panel.
1.Using the exercise file, click behind the first line of text: Page 1
2.On the INSERT ribbon, Pages group, click “Page Break”
The Navigation Pane shows two pages.
3.Click behind the line of text: Page 2
4.On the keyboard, press Ctrl Enter (or Ctrl Return)
The Navigation Pane shows three pages.
5.Click behind the line of text: Page 3
6.You choose which method to use: the Insert Ribbon,, or using the keyboard Ctrl Enter.
The Navigation Pane shows four pages.
7.Scroll to Page 2, and click behind the line of text: Page 2
8.On the INSERT ribbon, Pages group, click “Blank Page”
The Navigation Pane shows five total pages, with a blank page as Page 3.

- 00:07 So probably spent a lot of time on the home ribbon,
- 00:09 now I'm going to switch you over to the insert ribbon.
- 00:12 So up on top, the ribbons please click Insert.
- 00:14 I'm gonna focus your attention on the Pages group here on the left.
- 00:18 We'll be starting with the bottom one, Page Break and
- 00:20 working our way up to the top.
- 00:22 It's good practice right now, since we will be inserting some Page Breaks.
- 00:26 It's a good practice to view your Navigation Pane.
- 00:28 In fact, when I'm working in Word my Navigation Pane is always on.
- 00:33 So that is on the View Ribbon.
- 00:34 Go ahead and click on the View Ribbon up and the top.
- 00:38 And over here on the Show group we have the Navigation Pane.
- 00:41 When you put a check mark in there, here it comes.
- 00:43 Now, it should be clicked on Pages, if it's not just go ahead and activate PAGES.
- 00:49 And this actually shows you all of the pages in your document in a nice little
- 00:53 thumbnail view.
- 00:55 All right, let's go ahead and get started.
- 00:56 I want you to click on the screen behind Page 1, the words Page 1 and let's go back
- 01:03 to the Insert Ribbon and right over here we have a button that says Page Break.
- 01:07 Now notice, when I put my mouse there, it's teaching you,
- 01:09 Insert a Page Break is also Ctrl+Return or Ctrl+Enter on your keyboard.
- 01:15 Now, the keyboard method is my preferred way to insert a Page Break, but
- 01:20 you also have the button method on the Insert Page Break button.
- 01:23 So it's all about personal preference.
- 01:26 It's just important that you know there's more than one way to do this.
- 01:30 Okay, so on I've clicked behind it Page 1.
- 01:33 My flashing insertion point is behind there.
- 01:36 I'm gonna go ahead and click the Page Break.
- 01:38 Now, watch Navigation Pane.
- 01:40 Suddenly, I have a second page, right there.
- 01:43 And I can click on Page 1 to see it, I can click on Page 2 to see this,
- 01:47 the second page.
- 01:49 Now, I can scroll through as well but it's just a lot of scrolling.
- 01:53 To get back up to Page 1 and then scroll down to get down to Page 2.
- 01:56 It's just a lot of scrolling.
- 01:59 So that's why, I prefer the Navigation Pane.
- 02:02 All right, let's do that again.
- 02:03 Now, the first time we did it I hit Insert Page Break.
- 02:06 This time, I am gonna press Ctrl+Enter on my keyboard.
- 02:08 Control+Enter.
- 02:10 And there we have Page 3,
- 02:11 if you take a look Page 3 shows up on the Navigation Pane.
- 02:15 And let's go ahead and practice and
- 02:17 do one more time Ctrl+Enter behind Page 3 and there we go.
- 02:21 There you go, we have four different pages.
- 02:24 Now, what I would like to do is would prefer a blank page after Page 2.
- 02:29 So I wanna click on Page 2, notice I have Page 2 here with a little bit of writing
- 02:33 on it, you can see it and Page 3, a little bit of writing on it.
- 02:37 But I wanna be after Page 2, so I put my insertion point behind the Page 2.
- 02:41 Now, up on the Insert Pages, Blank Page, float your mouse on this one and
- 02:45 you'll see that there is not a keyboard command for this particular one.
- 02:50 You have to use the button.
- 02:52 So I'll go ahead and click Blank Page, and you can see what happens.
- 02:56 It put a Page Break, put a Blank Page and now,
- 02:59 here when I click this one it says Page 3.
- 03:02 Even though the count of the pages is number 4,
- 03:05 this is absolutely Page 3 because I put a blank page in there.
- 03:09 Now, I'm gonna scroll through here and look at this.
- 03:11 Basically, what it did is it inserted two Page Breaks for you.
- 03:15 So this little Blank Page button simply puts in a page break twice to give you
- 03:19 a blank page.
- 03:20 It's rather handy.
- 03:22 It's a great way to break up a the flow of a document.
- 03:27 Now, the other reason you wanna know about the Page Breaks is sometimes, and
- 03:31 I've seen this many, many times.
- 03:33 I scrolled all the way up to Page 1.
- 03:35 People don't know how to start on the second page.
- 03:38 So they will literally hit Enter.
- 03:40 Now, watch my insertion point move it's way down slowly.
- 03:43 Then you scroll up so you can watch it.
- 03:44 People will hit Enter, Enter, Enter, Enter, Enter, I'm not kidding, 30 times.
- 03:49 Till they get to the bottom and it actually rolls to the next page.
- 03:51 Well, what do you think happens when you put text in there?
- 03:55 All those Enters, they will affect the flow of the remaining pages underneath.
- 04:01 Using a Page Break is absolutely the ideal way to control when they break,
- 04:05 how they break?
- 04:06 You're in total control of these Page Breaks.
- 04:10 So please go ahead and
- 04:11 practice that, and I'll see you in the next video about cover pages.
