Login to download- 00:03 I have a good friend who builds presentations for people who are blind and
- 00:06 something that's very important to her is the accessibility checkup.
- 00:10 This video is all about customizing both the ribbon and the quick access tool bar,
- 00:14 also known as a QAT to bring that feature to the forefront and the accessibility
- 00:19 checker is available on file > check for issues > check accessibility.
- 00:24 And we get this little area pop-up where we can look for
- 00:27 particular problems on slides.
- 00:30 So we'll close that down and we'll place that on both the ribbon
- 00:33 which is available here, and the quick access toolbar.
- 00:37 Now briefly your quick access toolbar may be indeed above the ribbon.
- 00:42 So let's place it up there, right click on the QAT.
- 00:44 Show quick access toolbar above the ribbon.
- 00:49 That's where it is by default, it's a little bit further away from the work that
- 00:52 I'm doing on the slide than where I'd like it.
- 00:55 So, right click Show Quick Access Toolbar or
- 00:59 QAT Below the Ribbon, and there it is there.
- 01:03 So let's customize the ribbon, you can right-click on the ribbon or
- 01:06 indeed on the QAT as we saw, customize the ribbon.
- 01:09 And we get the PowerPoint Options dialogue box with this Customize Ribbon tab.
- 01:15 Now we can customize the QAT here as well if we wish.
- 01:18 So on this side, we have here where we can choose commands from.
- 01:22 So I drop the little arrow down, command's not in the ribbon and
- 01:27 there is the accessibility checker.
- 01:31 Now a little bit of detective thinking makes me think,
- 01:33 okay well that is indeed not available on the ribbon.
- 01:36 We saw that.
- 01:37 It was in the area called backstage on the File tab.
- 01:40 And backstage was the subject of another video.
- 01:43 I'd like to add that to the Home tab which was one of the main tabs in PowerPoint, so
- 01:47 I go Add.
- 01:49 Now immediately, I get a dialog box that says that there's an error,
- 01:53 Commands need to be added to Custom Groups, so pick a tab then New Group, OK.
- 01:59 So, I'm going to pick the Home tab, New Group, there is the Custom Group.
- 02:07 I see that I can rename that, so I'll call that Items, and
- 02:10 it seems like I should particularly select a symbol, so I do that.
- 02:14 Click OK.
- 02:16 And there is our new group called items.
- 02:19 I click add with the accessibility checker option still selected.
- 02:24 Now I'll move this over a little bit.
- 02:26 Keep an eye on the ribbon when I click okay.
- 02:29 And there, indeed, is our new group on the ribbon.
- 02:32 On the home tab it's called items and there is the check accessibility feature.
- 02:38 Now that's very good because that is very big and bold, and
- 02:40 I can access that when I'm on the Home tab.
- 02:43 However, when I go to the Design tab or various other tabs, it disappears.
- 02:47 It's only available on the Home tab.
- 02:49 Now to place that on the QAT it would be always available.
- 02:53 Now the quick way, and we are going to jump ahead right to the end of our video,
- 02:57 would be to actually right click on any feature in Powerpoint add
- 03:02 to quick access toolbar.
- 03:03 But let's do it the proper way, because at least you know the features there.
- 03:08 So again we can right click on the ribbon or
- 03:10 indeed on the QAT customize the Quick Access Toolbar.
- 03:14 Again we get the same dialogue box but a different tab.
- 03:17 Choose commands from.
- 03:19 Let's go commands not in the ribbon.
- 03:22 Now you and I know that the accessibility checker is in the ribbon but
- 03:27 it still appears here.
- 03:28 Click add to bring that across and I'd like you to keep your eye on the QAT.
- 03:33 I click OK and there it is.
- 03:36 Click on that and we get our Accessibility Checker feature.
- 03:40 So that's a very simple way of customizing both the ribbon and
- 03:43 the QAT to allow us to bring a feature to the front,
- 03:46 that normally we would have to go through the backend of PowerPoint to find.
- 03:49 So remember that customizing both the ribbon and the QAT or
- 03:53 the Quick Access Toolbar is very simple.
- 03:56 Indeed some features may be located in particular parts of the ribbon and
- 04:00 you might not know where they are.
- 04:01 So explore and have a look around.
- 04:03 But it's very useful to be able to customize the ribbon.
- 04:06 Look for commands that are not available and understand and explore how they work.
- 04:11 Because it's a very good feature.
- 04:13 And remember also that you can right click on any particular feature, add to QAT, or
- 04:17 quick access toolbar and there it is, allows you to customize the ribbon and
- 04:21 the QAT so you can build your presentations quickly and effectively.
